1. Acceptance of Terms

By accessing or using the A2A Alumni Portal ("Portal") operated by the Institution on the MEETCS Pvt. Ltd. platform, you agree to be bound by these Terms of Service. If you do not agree to these Terms, you must not register or use the Portal. These Terms constitute a legally binding agreement between you and the Institution. Use of the Portal is also subject to the Privacy Policy.

2. Eligibility & Registration
  • You must be a verified alumnus, staff member, or other authorised user to access the Portal.
  • You must be 18 years of age or older at the time of registration.
  • You must provide accurate, complete, and truthful information during registration.
  • You are responsible for maintaining the confidentiality of your login credentials. You must not share your account with any other person.
  • The Portal reserves the right to reject or revoke registration where eligibility cannot be established or where false information is detected.
  • Duplicate registrations are not permitted. The Portal employs automated duplicate detection based on email address and mobile number.
3. Account Security
  • Passwords must meet minimum complexity requirements: at least 8 characters, including uppercase, lowercase, a number, and a special character.
  • You must not use automated scripts, bots, or any mechanism to access the Portal other than through the provided user interface or authorised APIs.
  • You must immediately notify the institution if you suspect unauthorised access to your account.
4. User Conduct & Community Standards

You agree that while using the Portal, you will NOT:

  • Post, share, or transmit content that is defamatory, obscene, harassing, threatening, discriminatory, or unlawful.
  • Impersonate any person or entity, or misrepresent your affiliation with any person or organisation.
  • Use the Portal for spam, unsolicited marketing, phishing, or any other abusive communications.
  • Attempt to gain unauthorised access to other users' accounts, data, or any part of the Portal's infrastructure.
  • Upload or share malicious code, viruses, or any content designed to disrupt or damage the Portal.
  • Scrape, harvest, or systematically extract data from the Portal's directory without express written consent.
  • Post content that infringes any copyright, trademark, trade secret, or other intellectual property right.
  • Use the Platform in any manner that violates applicable Indian laws including the IT Act 2000, DPDP Act 2023, or any other applicable statute.
5. Content & Intellectual Property

You retain ownership of content you post on the Portal. By posting, you grant the Institution and MEETCS Pvt. Ltd. a non-exclusive, royalty-free, worldwide licence to use, display, and distribute your content solely for the purposes of operating the Portal. All software, design elements, trademarks, and proprietary content of the A2A Alumni Portal are owned by MEETCS Pvt. Ltd. and/or the Institution.

6. Career Hub & Opportunities

Job and internship postings are subject to admin approval. The Portal acts as a facilitator only. The Institution and MEETCS Pvt. Ltd. are not responsible for outcomes of applications, referrals, or employer interactions.

7. Mentoring Programme

Participation as a mentor or mentee is voluntary. The Portal facilitates connections but does not guarantee specific outcomes. All parties must maintain professionalism, respect, and confidentiality in mentoring relationships.

8. Moderation & Enforcement

The institution reserves the right to moderate, edit, remove, or restrict any content that violates these Terms. Accounts may be suspended or terminated for repeated violations or conduct detrimental to the alumni community.

9. Disclaimers & Limitation of Liability

The Portal is provided on an "as is" and "as available" basis. To the maximum extent permitted by applicable law, neither the Institution nor MEETCS Pvt. Ltd. shall be liable for any indirect, incidental, or consequential damages arising from use of the Portal.

10. Suspension & Termination

You may deactivate your account at any time via Profile Settings. Upon a valid deletion request, your personal data will be erased within 30 days except where retention is legally required.

11. Governing Law & Dispute Resolution

These Terms shall be governed by and construed in accordance with the laws of India. Any disputes shall first be subject to good-faith negotiation, failing which they shall be subject to the exclusive jurisdiction of courts in India.

12. Amendments

The Institution reserves the right to amend these Terms at any time. Registered users will be notified at least 14 days in advance of material changes.

1. About This Policy

This Privacy Policy explains how the Institution, operating through MEETCS Pvt. Ltd.'s A2A Alumni Portal platform ("Portal"), collects, uses, stores, shares, and protects your personal data. It applies to all users of the Portal including alumni, mentors, volunteers, and administrators.

By registering on or using the Portal, you acknowledge that you have read and understood this Privacy Policy. Where processing is based on consent, you have the right to withdraw consent at any time without affecting the lawfulness of processing carried out prior to withdrawal.

2. Data Fiduciary & Data Processor

Data Fiduciary: The Institution - responsible for determining the purpose and means of processing your personal data.

Data Processor: MEETCS Pvt. Ltd. acts as the technology and data processor for this Portal. All processing activities are governed by a Data Processing Agreement compliant with the DPDP Act, 2023.

3. Data We Collect

Registration & Identity Data: Full name, email address, mobile number, programme, batch/graduation year, student/roll number, password (encrypted), profile photo (optional).

Profile & Professional Data: Current employer, designation, city, country, skills, expertise, LinkedIn/website URLs, certifications (optional).

Activity & Engagement Data: Posts, comments, forum threads, event RSVPs, mentorship requests, job applications, survey responses.

Technical & Device Data: IP address, browser type, device identifiers, session data, login timestamps.

Verification Documents (Optional): Supporting documents uploaded for identity verification - used solely for alumni verification and not shared with third parties without your consent.

4. How We Use Your Data
  • Core Portal Operations: Alumni registration, verification, account management, directory search, events, career hub, mentoring, content moderation.
  • Communications (Consent-Based): Email/SMS notifications for events, approvals, messages, newsletters, announcements.
  • Analytics & Improvement: Aggregated, anonymised analytics for institution administrators; platform improvement and security monitoring.
  • Legal & Compliance: Compliance with applicable Indian laws including the DPDP Act, 2023; responding to lawful requests from regulators.

6. Data Retention
  • Active alumni profile data: Retained for the lifetime of your account or as required by the Institution's alumni engagement mandate.
  • Verification documents: Retained for the legally required period post-verification or until deleted on request.
  • Activity and engagement logs: Retained for 2 years from last activity.
  • Audit logs: Retained for 3 years for governance and compliance.
  • Deleted account data: Purged within 30 days of account deletion request, except where retention is legally mandated.
7. Your Rights Under the DPDP Act, 2023

8. Security
  • All data in transit is encrypted using TLS 1.2 or higher.
  • Passwords are stored using industry-standard hashing (bcrypt/Argon2) - never in plain text.
  • Role-based access control (RBAC) is enforced across all modules.
  • Rate limiting and request throttling are enabled on all authentication endpoints.
  • PII is masked in logs and non-production environments.
9. Cookies & Tracking

The Portal uses session cookies necessary for authentication and functionality. Analytics cookies (if any) are used only with your consent. You may manage cookie preferences via your browser settings.

Digital Personal Data Protection (DPDP) Act, 2023 - This consent is required under Section 6 of the DPDP Act, 2023.
Consent Design Principles
  • Free - Consent must not be conditional on agreeing to unnecessary processing.
  • Specific - Each purpose has a separate, clearly labelled consent item.
  • Informed - Plain-language description of what data is collected and why.
  • Unconditional - Non-essential features are not gated behind mandatory consent.
  • Revocable - You may withdraw consent at any time with equal ease.

A1 - Terms of Service & Privacy Policy Mandatory

Acknowledgement of how your personal data (name, email, mobile, academic records) is collected, stored, used, and protected by the Institution and MEETCS Pvt. Ltd. for operating the A2A Alumni Portal.

A2 - Data Collection for Registration & Verification Mandatory

Consent to the collection and processing of personal data (name, email, mobile number, academic details, and supporting verification documents) for the purpose of alumni registration, identity verification, and account management on the A2A Alumni Portal.

Purpose: Verification & Account Management  |  Basis: Consent (DPDP Act, 2023, Section 6)  |  Retention: Duration of account + legal hold period.

A3 - Essential Operational Communications Mandatory

Consent to receiving essential communications (via email and/or SMS) related to your account - including registration confirmation, OTP, password reset, and critical security alerts.

These communications are necessary for account security and cannot be opted out of while your account remains active.  |  Purpose: Account Security & Operations  |  Basis: Consent / Contractual necessity.


Optional Feature Consents

These are optional. You can configure them anytime from your profile settings after registration.

B1 - Alumni Directory Visibility Optional - Your profile visible to other verified alumni in the directory. Configurable via Profile > Privacy Settings.

B2 - Mentoring Programme Optional - Availability, skills, and professional domain shared with other alumni for mentoring. Applicable only if you opt in as a Mentor.

B3 - Career Hub Notifications Optional - Notifications about job openings, internships, and career events matching your profile. Opt out anytime via Notification Preferences.

B4 - Event Invitations & Reminders Optional - Event invitations, RSVP reminders, and post-event communications. Manageable via Notification Settings.

C1 - Institutional Newsletter Optional - Alumni newsletter, success stories, newsroom updates, and official announcements via email. Unsubscribe at any time.


By checking the DPDP consent checkbox on the registration form, you confirm consent to the mandatory items (A1, A2, A3) above. Optional consents can be configured after registration from your profile settings. You may withdraw any consent at any time via Profile > Privacy Settings.
